How It Works

From Setup To The Next Visit.

Your customer taps a link. A branded card lands in Apple Wallet or Google Wallet. No app, no download, no password. From that moment you can update it, add points to it, message it, and see exactly what it's earning you. Here's the whole loop, end to end.

Show me this for a

Same platform. It just stops showing you things you'll never use, which is exactly what it does when you sign up.

Before and after

You're already running loyalty. This is what changes.

Most local businesses already reward their regulars: a stamp card, a free coffee, a name remembered. None of it is recorded, and none of it reaches the customer once they've left.

Today

The card lives in their drawer. It gets lost, washed, or forgotten. You have no idea how many are out there, how close anyone is to a reward, or who stopped coming in.

With PointVibe

The card lives in their phone. It's in the same wallet as their bank card and their boarding pass. It updates the moment they earn, and you can reach it from your dashboard.

What you get back

A record of every visit. Who your regulars are, which reward actually drives returns, who's drifting away, and a way to say something to any of them without buying an ad.

Step 01ONE-TIME

Tell it what kind of business you run

Pick your industry and the platform shapes itself around it: your pass types, your reward defaults, and which modules you see. A yoga studio gets classes and bookings. A bakery doesn't, and never sees them.

Step 02ONE-TIME

Build the card and decide what it's worth

A guided builder walks you through it. Choose how customers earn, choose what they earn towards, then make the card look like your brand, then preview it on both wallets before you publish.

For a salon: points. A trim and a full balayage shouldn't be worth the same. £5 off every £100 spent on color.

Step 03ONE-TIME

One link. Every channel you already use.

Every pass gets an install link. Send it, print it, post it, or put it on the counter. One tap and the card is in their wallet.

For a salon, it's usually your stylist's phone, while the color develops.

Step 04AT THE COUNTER

A visit takes about two seconds

The customer shows the card, your team scans the barcode, and the balance updates on the spot. No app to open on either side, no account lookup.

Step 05RUNS BY ITSELF

Set it once. It runs without you.

A message that lands on a lock screen, from a card the customer chose to keep, does not behave like an email. You don't need many. You need the right ones, firing at the right moment.

Or let the neighbourhood trigger it

Draw an area on the map and set what happens when a member crosses it: on the way in, after they've lingered, or as they leave. Drop a pin and drag the radius, or draw the shape yourself for a market pitch. It fires once per crossing, not every thirty seconds.

Find out which regulars are slipping away

Every scan, redemption and join builds a picture. PointVibe sorts your customers into groups you can act on and names them in plain English: regulars, best fans, slipping away, gone quiet.

Day to day

The six steps get you live. This is what you run afterwards.

Once the pass is out there, the work moves to the dashboard. None of it needs a developer and none of it needs a support ticket.

Rewards, built your way

One builder, three kinds of rule. Earning gives points or stamps. Redemption lets members spend them. Promotion runs for a window and stops. Choose a free item, a percentage off, a fixed discount, buy X get Y, or a points multiplier.

Fire it when it matters

Set what triggers a reward: every purchase, a first purchase only, a birthday, a referral or a sign-up. Add a minimum spend if you want a floor. Apply it to the whole basket, one item, or a whole category.

Scope and stage it

Point a rule at one location, a franchise group, a single loyalty program or the whole business. Everything starts as a draft, goes live when you say so, and can be paused without being deleted.

A record for every customer

Name, phone, email, birthday, home location and how they joined. Their visits, points, punches and everything they've claimed. Add private notes your team can see and the customer never does.

Fix things by hand

Add points when the scanner misses one. Resend somebody's pass when they change phone. Send a single member a push. Block a bad actor, with a reason attached, and unblock them later.

Locations on a map

Drop a pin where your shop is, or draw the shape yourself for a market pitch or a pop-up. Pull your existing locations onto the map in one go, then set each one active or paused.

Every pass type

Same six steps. Six kinds of pass.

The loop doesn't change. What changes is what the card counts, and which step you end up spending your time in.

Loyalty card

Loyalty card

Spend $40, earn 40 points. You set the rate in step 2. After that, the counter scan in step 4 does all the work.

Stamp card

Stamp card

Ten coffees, the eleventh free. Built exactly like a loyalty card, except step 2 counts visits instead of pounds.

Membership card

Membership card

Proof of who they are, with a date on it. Nobody earns anything, so step 4 becomes a check-in and step 5 chases the renewal.

Coupons & offers

Coupons & offers

One redemption, then it's spent. Most of the work sits in step 5: send it, watch it, let it expire on time.

Gift card

Gift card

A balance that goes down instead of up. The till deducts at step 4, and the card in their pocket shows what's left.

Event ticket

Event ticket

Scanned once, at the door. Distribution is where this one lives, so step 3 matters more here than anywhere else.

Running more than one? A café can hand out a stamp card and a gift card from the same dashboard, on the same customer record. Compare all pass types
Built for your trade

Six steps everyone runs. Then your trade adds its own.

The loop above is the same whether you sell flat whites or facials. What changes is what your business needs on top of it, and PointVibe turns that on when you pick your industry at setup.

AppointmentsSALONS · CLINICS · STUDIOS · BARBERS
For businesses where the diary is the business

A booking page per location, a calendar that respects staff availability and blocked time, auto-confirm or review on every request, and reminders that send themselves. When someone cancels, the waitlist offers the slot down the list with a claim window until somebody takes it — so the gap in your Thursday closes while you're still with a client.

  • Online, phone, walk-in and staff-added, all in one calendar
  • Staff availability, blocked time and booking rules
  • Automatic reminders by wallet push, email or SMS
  • Waitlist that refills cancellations on its own
  • No-shows and cancellations tracked
Reservations & Menu QRRESTAURANTS · BARS · CAFÉS
For businesses where the table is the business

Table reservations that sit beside the loyalty card, so the regular who books Friday is the regular you already recognise. Plus a QR on the table that opens your menu — and the same code that drops your loyalty pass into their wallet while they're waiting for the food.

  • Table reservations on the same customer record
  • Menu QR: your menu, no app, no reprints
  • One code that serves the menu and offers the pass
  • Covers and repeat visits in the same analytics
One customer record underneath all of it. Whatever your trade runs on, it's the same person as the card in their wallet. Not a second system you reconcile at the end of the month.
The apps

Built for the counter, not just the back office

Multi-location & teams

One shop or forty. Same setup.

Multi-location and franchise, built in

You declare your structure when you set up: a single location, several under one brand, or franchise groups with their own locations beneath them. Passes can run across every location or be scoped to some. Each member has a home location, so you can see which site is actually growing.

Everyone sees only their part

Four roles: Owner, Franchise Manager, Store Manager and Staff. Each with its own permissions. Staff can scan and add members without touching your program rules, your billing or your customer exports. Invite by email; access is revoked the moment you remove them.

Two-factor authentication, passkeys, and a list of every active session and device, so you can sign out a lost phone from your desk.
Integrations & API

It talks to the rest of your stack

Connect your point of sale and let sales flow in as loyalty activity, each location mapped to the right location on their side. Beyond that, a proper API and outbound webhooks.

Scoped API keys

Read or write, per area: clients, loyalty, passes, transactions, stores, staff and notifications. Give an integration exactly what it needs and nothing more.

Outbound webhooks

Get notified when a member is created, updated or changes tier; when points are earned, redeemed or refunded; when a reward is issued, claimed or expires; when a campaign starts, ends or hits its goal.

Delivery you can see

Endpoint status, retries and average latency, so a broken integration doesn't fail silently and cost you a month of data.

Not on the list? Most tools connect through our API, or through Zapier and Make.
Getting going

What the first month actually looks like

  1. Day one

Pick your industry, add your location and your catalog, build your first pass and publish it. Print the counter QR before you close.

  2. Week one

Your team starts scanning. The poster goes in the window, the link goes in your Instagram bio, and the welcome message sends itself. Your first members appear in the dashboard, tagged with where they came from.

  3. Week two

The first rewards get claimed. Turn on the birthday automation and the inactive-member reminder. Two automations that will run for the next year without you touching them.

  4. Day thirty

You have a customer list you own, a segment called regulars with real names in it, and a reward marked either working great or needs help. That's the point at which you stop guessing.

How it compares

A pass platform, a trade platform, or one that does both

Most tools in this space do one half well. Pass platforms issue passes. Trade platforms run your diary or your tables. If you need both, and most businesses with regulars do, the split costs you the thing that matters: one view of one person.

FAQ

The questions merchants actually ask

No. The pass goes into Apple Wallet on iPhone or Google Wallet on Android — both are already installed on the phone. Your customer taps a link or scans a QR code, and the card is saved. There's no app location, no account to create, no password.

Your staff can find them by name, phone number or email and record the visit by hand. The points land on their account either way — the pass is how they carry it, not where it lives. You can also resend their pass link at any time from their profile.

Both. You choose when you build the program. Points awards a number of points per unit spent, so a bigger basket earns more. Visits counts one per transaction — the digital stamp card. Neither is better; points suit varied spend, visits suit a fixed-price habit like coffee.

A free product or service from your catalog, a percentage off the next purchase, or a fixed amount off. You set what it costs in points or visits, and you can run several rewards at once at different thresholds.

Yes — that's the main advantage of a wallet pass over a printed card. Change the design, the fields, your opening hours or the terms, and the update reaches cards already sitting in customers' wallets. You never have to reissue anything or ask anyone to re-add it.

The customer shows the pass, your team scans the barcode on it, and the balance updates. Alternatively a connected point of sale can pass the sale through automatically, staff can enter it manually, or your own system can post it through the API. Every route is logged with its source.

A set of controls you configure yourself. Set a cooldown so the same member can't earn twice within a few minutes. Cap the points on a single earn and the total any member can earn in a day. Send anything over a threshold, anything scanned after hours, or any sale with no customer attached to a review queue where you approve or reject it. Nothing is deleted — the ledger keeps the trail.

PointVibe generates the assets: a printable QR poster, a small counter version, a story sticker sized for Instagram, TikTok and Snapchat, an email signature block, and a plain link for WhatsApp, SMS, your website or your Google listing. Every join records where it came from, so after a month you know which of those is doing the work.

Yes — a push to the wallet pass itself, an email, or an SMS. You can send one-off messages, or build automations that run on their own: a welcome when someone joins, a birthday reward, a nudge to anyone who hasn't been in for a number of days you choose, and messages around a promotion starting or ending.

You draw an area on a map — around your shop, a nearby station, a market you're trading at — and set a message to appear on the lock screen of any member who crosses it. You choose whether it fires as they arrive, once they've been there a while, or as they leave, and it fires once per crossing rather than repeatedly. It's genuinely useful for footfall businesses and pop-ups; it's optional for everyone else.

Yes. On top of the six steps everyone runs, your industry adds its own module — and it switches on automatically when you pick your industry at setup. Service businesses — salons, clinics, studios, barbers — get Appointments: a booking page, a calendar with staff availability and blocked time, automatic reminders, and a waitlist that refills cancellations on its own. Available today. Restaurants, bars and cafés get Reservations and Menu QR — table bookings and a QR that serves your menu and offers your loyalty pass from the same code. Coming soon. All of it sits on the same customer record as the loyalty card, so it's one person, not two systems.

A wallet pass platform issues and updates passes — that's its whole job, and the good ones do it well. PointVibe does that too, then keeps going: the counter, your industry module, the staff roles, the fraud controls, and the analytics that tell you which reward to change. If all you need is passes and you have an existing system for everything else, a pass platform is a reasonable buy. If you want the shop run from one place, that's what this is.

Those platforms manage your diary or your tables, and the big ones also run a marketplace that sends you new customers. We don't do the marketplace — we're honest about that. What we add is the half they can't: a branded, living loyalty card in Apple or Google Wallet that you can update and message without an app install, tied to the same customer as the booking. We don't send you strangers. We make the people who already come back come back more often.

Yes. Set your structure at the start — one location, several, or franchise groups with stores beneath them. A pass can run across every location or be limited to some. Each member has a home location, so you can compare sites, and managers can be scoped to just their own.

There are four roles — Owner, Franchise Manager, Store Manager and Staff — each with its own permissions. Staff can serve customers without reaching your program rules, your billing or your customer data. You invite by email and remove access instantly. Two-factor authentication and passkeys are available, and you can see and sign out every active session.

No. Any staff phone can act as a scanner, and everything else runs in a browser. If you'd rather have a dedicated device at the counter, there's a tablet app for iPad and Android — but it's a choice, not a requirement.

PointVibe connects to supported point-of-sale systems directly, with each of your locations mapped to the matching location on their side. Anything not supported natively can be connected through our API and webhooks, or through an automation tool. Talk to us about your setup before you commit.

Yes. Export your members, their activity, your transactions, your catalog and your analytics as CSV whenever you want. Nothing is held hostage in the dashboard.
